Abstract

The creation of a clear and objective document management policy can lead to multiple benefits in the creation, capture, storage, use, and provision of university documents. This research aims to determine the components of a document management policy for universities. Document analysis was used as the main method and document review as a technique, applied to a group of document management policies belonging to different universities. The components that a policy must contain were determined, among which the following stand out: Glossary of terms, Preamble, Purpose, Policy Statement, Scope, Regulatory and regulatory framework, Document Management Systems, Responsibilities, Relationship with other policies, Validity and References. It should be noted that this result must be adapted to the conditions of each higher education institution, the regulatory framework, the composition of its Document Management System, as well as the degree of preparation of its specialists. Currently, document management policies have become an instrument widely used by entities to achieve successful document management.
